The Real Cost of Manual CV Formatting for Recruitment Teams

HT By Hirepie Team, Recruitment Ops

“It only takes a few minutes” is how most agencies describe CV reformatting — right up until someone adds up the actual hours. Reformatting isn’t just retyping text into a template; it’s extracting content from an inconsistent source file, fixing broken tables and cut-off sentences, reordering sections, applying redaction rules, and proofing the result before it goes to a client. Done properly, that’s a real chunk of a recruiter’s day, repeated for every single submission.

Here’s the cost broken down transparently, with the assumptions shown, so you can check the math against your own agency rather than taking a vendor’s number on faith.

The assumptions

  • Time per CV (manual): 30–60 minutes, depending on source quality. We use 40 minutes as a middle estimate — that’s extraction, reformatting, redaction, and a proof pass, not just a copy-paste job.
  • Recruiter cost per hour: varies a lot by market and seniority — we use £25/hour as a working figure (fully loaded cost, not just salary), but the number that matters is your number.
  • Volume: a mid-size agency submitting 40 CVs a week across all consultants is a reasonable middle case — smaller boutique agencies will be lower, high-volume contract/temp desks considerably higher.

The math

At 40 CVs/week, 40 minutes each, £25/hour:

  • 40 CVs × 40 minutes = 1,600 minutes/week ≈ 26.7 hours/week
  • 26.7 hours × 4.33 weeks/month ≈ 115.5 hours/month
  • 115.5 hours × £25/hour ≈ £2,890/month, or roughly £34,650/year

That’s not an edge case — it’s the cost of formatting alone, for one mid-size agency, before accounting for the opportunity cost of what that recruiter could be doing instead (sourcing, client calls, closing roles).

Run your own numbers: the assumptions above are exactly the inputs in our CV formatting cost calculator — plug in your real volume, time-per-CV, and hourly cost to see your agency’s actual number instead of ours.

Why the real cost is usually higher than this

The calculation above only counts direct formatting time. Two things usually push the real cost higher:

  1. Rework. Inconsistent formatting that slips through review often gets caught by the client instead, meaning it gets reformatted twice.
  2. Opportunity cost. Every hour spent reformatting is an hour not spent on revenue-generating recruiter work — sourcing, screening, client development. At most agencies, that opportunity cost is worth more per hour than the base formatting cost.

Neither of those is included in the £2,890/month figure above — which means for most agencies, the real number is understated, not overstated.

What actually changes the number

The lever that moves this calculation the most isn’t the hourly rate — it’s minutes per CV. Cutting formatting time from 40 minutes to under 2 minutes per CV (parsing and reformatting automatically instead of by hand) turns the £2,890/month figure into roughly £145/month of recruiter time on the same volume — freeing the rest for client-facing work.

That’s the specific problem Hirepie’s CV formatting software is built to solve: AI-based parsing of PDFs, DOCX files, scanned images, and LinkedIn exports into one branded, client-ready template in seconds, with transparent all-inclusive pricing so the cost stays predictable as volume grows.
